Jamestown Urban Management is seeking a motivated, self-starting individual with strong administrative/property experience to join our management team. The Property Administrator acts as the first point of contact with tenants, vendors, and contractors. The primary purpose of this position is to support the Property Manager/General Manager in the administrative and management functions required for commercial real estate properties in accordance with company and industry best practices and is involved in all aspects of the day-to-day operations of the property.

The ideal candidates will demonstrate expertise in Accounting, Administrative and Marketing Duties detailed below. The Property Administrator is responsible for accounts payable, generating and sending monthly statements, monitoring the work order system, assisting in administration of tenant leases, filing of all accounting and tenant documents, and assisting Property Manager as necessary.

Accounting Duties

• Saving and uploading invoices
• Code all monthly invoices and input into system.
• Admin time with utility companies to sort out invoicing for utility accounts.
• Calculate Utility Bill Backs from invoices
• Scanning and Mail out checks to vendors for payment.
• Follow up with vendors to resolve billing issues.
• Job Cost Forms • New Vendor Process- Obtaining W9 and OFAC checks.
• Process: Stop Pay Requests/Void Requests/Rush check Requests • Creating Invoices for TI Reimbursements
• Assist accounting with 1099.
• Collect Sales reports for all tenants and enter into MRI.
• Input sales numbers into spreadsheet and calculate any and all % rents.

Administration

• Answer and Route all incoming phone calls
• Accept all Deliveries
• Address and route all walk-in traffic (Calling security, engineering and PM)
• Order and keep office supplied
• Keep Office clean and maintain office standards.
• Open Mail distributing and scanning.
• Track and monitor certificates of insurance for tenants and vendors. Send out reminders before expiration date and notices of default if needed.

Marketing

• Coordinate and update of stanchion signage and chalkboard signage then oversee takedown/install of event and tenant promotional signage.
• Assist in coordination of building events (tenant move-in breakfast, summer event, holiday party, etc.).
• Assist to set up concert series throughout the summer – This includes reaching out to meet-up with groups around the city to line up weekly performances.
• Assist to solicit musicians and put together the music calendar and update it monthly.
• Complete and process booking agreements with all musicians – this includes collecting COI.
• Assist musicians with location and setup upon arrival or coordinate set up with security
• Day to day of new signage installation.
• Events- Prep time and meeting to assist and coordinate large scale events that include Halloween, Holiday Tree Lighting, Easter, Earth Day, Uncorked, Taco Fest, Ghirardelli Chocolate Fest.
• Work with management to be available during these large events. This includes coordinating with garage operator staff, set rates, placement of FF&E, and any other support as needed.

Requirements and Qualifications needed for the position: MS Word and Excel required. Two to four year degree or sufficient experience required. Basic accounting courses or equivalent work experience preferred. Previous experience with Yardi a plus.
