Organizational Description: NICOS Chinese Health Coalition is a public-private-community partnership of more than 30 health and human service organizations. The mission of NICOS is to enhance the health and well-being of San Francisco’s Chinese community. NICOS is engaged in advocacy, research, training, resource development and program implementation for the benefit of this population and the organizations that serve it.
Project/Position Summary: Under the supervision of the Administrative and Program Manager, the Administrative and Program Assistant is primarily responsible for the overall day-to-day smooth functioning of office and agency operations. Duties include: providing administrative support; providing client support; assisting with projects and programs; coordinating payroll and benefits administration; assisting with bookkeeping functions, including accounts payable and accounts receivable; orientating new staff and other personnelrelated matters; running errands. This is a full-time position (40 hours/ week), but may be adjusted to part-time based on candidate’s needs.

Duties and Responsibilities: ? Provide administrative support to overall agency operations and management staff, including general day-to-day administrative and clerical support such as reception, filing, scanning/copying, correspondence, errands ? Assist in maintaining and developing administrative, operations and recordkeeping systems ? Assist in human resource and payroll coordination ? Assist with basic bookkeeping, including accounts payable/ receivable ? Serve as the point person for maintenance, mail, supplies, equipment, bills ? Respond to phone calls/emails and provide client support; organize and schedule meetings and appointments ? Assist in conducting community outreach to promote and disseminate program information, with the goal of increasing program awareness and utilization ? Assist in the development of agency and program materials, such as brochures and flyers ? Assist with event planning (e.g. meetings, trainings, conferences/ teleconferences) ? Assist with communications/ support to NICOS Board members, NICOS coalition members, special committee/ sub-committee members, funders, and partners; maintain databases and listservs ? Assist in the compiling of reports, presentations, proposals, and other important documents ? Contribute to the development of a team effort encouraging growth, professionalism, and active participation of all staff ? Perform other duties as requested by the Administrative and Program Manager and/or other members of the NICOS Management Team

Qualifications

Qualifications: ? Bachelor's degree preferred; year(s) of relevant work experience may be substituted for year(s) of preferred education ? Experience with administrative/ office support preferred ? Excellent organizational, analytical and interpersonal skills required

? Excellent verbal and written communication skills required ? Excellent time management skills and ability to multi-task and prioritize work required ? Proficiency with PC (Win 7/10) computer environment/ software applications, including Word, Excel, Publisher required; ability to typeset in Chinese preferred; knowledge of Quickbooks preferred ? Bilingual/ bi-literate English/Chinese (Cantonese preferred, Mandarin a plus) required ? Share in the values and mission of the organization ? Ability to support and implement the goals and objectives of NICOS and its projects required
