We are looking for an experienced (1-2 years+) administrative assistant to join our small team. The job will primarily provide support for the Principal Architect, Donald MacDonald. Our firm has been in business for 40 + years and now specializes in creating 21st century bridges. We are looking for someone with exceptional multi-tasking skills, outstanding typing skills, a can do attitude, and an interest in creative design.

Some Tasks of the Position are as follows:

· Office Inventory

· Ordering of office supplies

· Answering of phones

· Sorting of emails

· General office filing as well as specific project assistance

· Mail sorting and filing

· General office tidying

· Project searching and tracking with Principal

· General office admin

· Letter dictation

· Yearly renewal of architectural licenses

· Coordinate staff’s holiday schedules

· Upkeep all of the firms lists: bridge/building client mailing lists, press contacts, press coverage, etc.

· Create PowerPoint presentations for Principal’s lectures

· Generate marketing materials including new project postcards, competition submittals, project brochures using premade templates

· Write proposals, design approach essays, architectural competition submittals, web content, public relations articles, press releases and client correspondences

· Organize travel schedules for Principal and employees

· Project based marketing and general office monthly mailings

Skills Required

· 55+ wpm required
· 1-2 years’ experience
· Bachelor’s degree required
